QuickBooks Online best practices

17 July 2026 · 4 min read

Get more from QuickBooks Online with a few best practices for coding, reconciliation and VAT.

QuickBooks Online is powerful, but clean output depends on consistent processes across your client base.

Standardise coding

Agree a coding convention and use bank rules to apply it consistently. Review rules regularly, and keep the chart of accounts tight so reports stay meaningful. Categorise as you go rather than leaving a backlog in the For Review tab.

Reconcile and check VAT

Reconcile monthly and check the VAT control before filing each return. Use QuickBooks' MTD workflow so digital links are preserved, and run an exception review to catch duplicates and misposted items before they reach the accounts.
